This policy outlines the commitment of Mindbuilders Ltd trading as 11+ made simple to protect all children and young people who use our online tutoring services. We believe that a child or young person should never experience abuse or harm, and we are committed to working in a way that safeguards their well being.
This policy applies to all tutors, staff, and directors involved with 11+ made simple. It is implemented in accordance with UK statutory guidance, including Working Together to Safeguard Children.

1. Our Commitment to Safety
We are committed to:
- Providing a safe online environment for all students during lessons.
- Taking all reasonable steps to prevent harm to children in our care.
- Ensuring that all staff and tutors undergo a robust recruitment process, including a valid Enhanced Disclosure and Barring Service (DBS) check (or equivalent criminal record check), before working with students.
- Responding promptly and appropriately to all incidents or concerns of abuse, neglect, or harm.
2. Safeguarding Roles and Responsibilities
- Designated Safeguarding Lead (DSL): Responsible for overseeing child protection, managing confidential records, and escalating all serious concerns to external agencies. (Note: This is Ronke F).
- Tutors: Must adhere to the Code of Conduct, maintain appropriate boundaries, and report any concerns immediately to the DSL.
- Parents/Clients: Must ensure the student is safe, provide a suitable learning environment, and abide by the Code of Conduct (Section 3).
3. Online Code of Conduct and Boundaries
To ensure a professional and safe environment for both the student and the tutor:
- Parental Presence: The parent or a responsible adult must be present in the home/building throughout the entire duration of all online sessions for students under 18 (as stated in the T&Cs).
- Lesson Environment: Students should be in a communal, private area of the home (not a bedroom), dressed appropriately, and have sufficient lighting.
- Camera Usage: Students are required to have their camera and microphone on for lessons to ensure effective communication and engagement.
- Communication Channels: All communication between the tutor and student must occur solely through the approved platform (Zoom/Google Classroom) and in the presence of the parent. Tutors must never communicate with a student directly via personal email, text message, social media, or phone outside of the session time.
- Session Recording: All lessons are recorded for quality assurance and student review purposes. These recordings are stored securely and deleted after one year.
4. Procedure for Reporting Concerns
If a tutor suspects that a child is being harmed, neglected, or is at risk of harm, they must follow these steps immediately:
- Report to DSL: The tutor must immediately inform the Designated Safeguarding Lead (Ronke F) via the dedicated safeguarding email: admin@mindbuilders.co.uk.
- Record Details: The tutor must make a detailed, dated, and factual written record of the concern, including what was seen, what was said, and when it occurred. This must be done without delay.
- DSL Assessment: The DSL will review the information immediately.
- External Referral: If the DSL determines there is a risk of significant harm, they will immediately contact the appropriate statutory agencies (Local Authority Children’s Services or the Police). The DSL is responsible for making the referral, not the tutor.
- Confidentiality: All safeguarding records will be stored securely and confidentially by the DSL, separate from other student files. Information will only be shared with those who need to know to ensure the child’s safety.
5. Review and Training
This policy is reviewed annually and updated according to any changes in UK legislation. All tutors are required to complete regular safeguarding training to ensure their knowledge and procedures remain current.
